Assistant Registrar
Position summary:
As part of the office of the registrar team, this position helps develop, implement, and is directly involved in an aggressive, comprehensive enrollment program. This position support student success through the management of data and records essential for student enrollment and degree completion. This position also serves as a primary liaison to administrators, faculty, staff, and professional colleagues. This position offers guidance to prospective, current, and former students.
Position responsibilities:
- Provides senior level leadership in the absence of the registrar
- Regular attendance of a full-time work day
- Provides direction on day-to-day office operations
- Provides guidance and assist departments with course set up and scheduling
- Remains current on changes in academic programs and courses at Kilgore College that impact pathways for prospective transfers.
- Manage and coordinate graduation processes and associated ceremonies
- Oversees end of semester/term processing in student information system
- Maintains reports, data, and statistics related to specific assignments and tasks
- Validate the accreditation status of transfer colleges and universities
- Evaluate transcripts received from other colleges; research and determine applicability of appropriate transfer courses; reviews and evaluates credential evaluation reports for non-US coursework, military service and education
- Administers credit hour posting (AP, CLEP, IB, articulation, clock hours, and credit by exam)
- Participate in Reverse Transfer Initiates and assist with the evaluation of degree audits
- Works with various offices to develop successful transition programs for new KC students
- Assists department/program specific enrollment efforts
- Serves on committees as requested
- Other duties as assigned.
- Bachelor’s degree required.
- Five years or more related experience preferred.
- Proficiency in Microsoft Office (Word, Excel, and Outlook) and data entry required.
- Familiarity with the Poise/Jenzabar EX student information system preferred.
- Familiarity with the Family Educational Rights and Privacy Act (FERPA) is an asset.
- Knowledge of KC policies, procedures and practices.
- Comprehensive knowledge of the registration processes from recruitment to graduation.
- This position requires strong interpersonal and communication skills, both written and oral.
- The ability to multi-task and manage time effectively is essential.

- Work is normally performed in a typical interior/office and classroom environment.
- No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds.

All full-time positions are located in Kilgore, TX. No fully work from home positions are available at this time. All employees must be available to physically present to work on the Kilgore, TX or Longview, TX Campus. Some Part-Time and Adjunct positions may be offsite but the candidate MUST live in the State of Texas.

Positions will remain open until filled. Some Adjunct and Part-Time teaching positions may remain open perpetually as the need for part time instructors fluctuates with student enrollment. Teaching positions will be required to submit official transcripts upon an offer of employment. An offer of employment will be contingent upon passing a background check.
