Administrative Assistant I - Library
Position summary:
The Administrative Assistant is responsible for providing administrative support to the Director of the Library. This position will report to the Director of the Library.
Position responsibilities:
- Manage library accounts and communication with vendors
- Manage library budget
- Assist director and other staff members as needed
- Manage the library’s social media accounts
- Order and receive items
- Work with Procurement Services as needed
- Manage deposits and petty cash
- Maintain list of staff contact info and work schedule
- Submit forms to the Vice President of Instruction as needed
- Submit and track work orders as needed
- Generate reports, store completed work in designated locations
- Maintain confidentiality as required
- Respond to queries for information and access relevant files
- Comply with data integrity and security policies
- Handle routine office duties such as answering the phone, scheduling appointments, filing and distributing mail
- Maintain office and classroom supply inventories
- Organization and maintenance of office filing systems and documents
- Regular attendance of a full-time work day
- Other related duties as assigned by the Director
- One-year certificate in Business Computer Office Management, Business Management or related field required; associate's degree preferred. Extensive related work experience will be considered in lieu of formal education.
- Ability to prioritize tasks and organize work efficiently
- Ability to develop and maintain good working relationships of students, faculty and staff
- Excellent computer skills using Microsoft Word, Excel, Adobe Acrobat, and database applications; Excel Certification preferred
- Able to interpret and apply administrative policies and procedures
- Able to work well with little supervision and relate well to a diverse student and faculty population
- Must have excellent written and verbal communications skills
- Must be able to work in a typical office environment
- Must be able to handle occasional high levels of stress
- Must be organized, confidential, expedient, tactful, and even-tempered
- Excellent customer service skills are required
Supervisory Responsibilities:

- Work is normally performed in a typical interior/office and classroom environment.
- No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 25 pounds.
- Sit for long periods, read & work from computer 85% of the time.
- No or very limited exposure to physical risk.
- Provide resources for safe operation of units. Create and support workplace safety.

- Compensation for this 12-month position is $30,914

All full-time positions are located in Kilgore, TX. No fully work from home positions are available at this time. All employees must be available to physically present to work on the Kilgore, TX or Longview, TX Campus. Some Part-Time and Adjunct positions may be offsite but the candidate MUST live in the State of Texas.

Positions will remain open until filled. Some Adjunct and Part-Time teaching positions may remain open perpetually as the need for part time instructors fluctuates with student enrollment. Teaching positions will be required to submit official transcripts upon an offer of employment. An offer of employment will be contingent upon passing a background check.
