Specialist - Foundation Admin & Account Specialist
Position summary:
Institutional Advancement (IA) operates to support student success, build and maintain donor engagement at any level, and efficiently deploy its resources to raise dollars. IA personnel maintain the highest level of transparency and are always available to donors, friends, students, faculty, and staff of Kilgore College.
In addition to adhering to the Mission of IA, the Scholarship Liaison is also responsible for creating frictionless interactions for donors and creating a life-long relationship with all graduates, students, and friends of the College.
The Institutional Advancement Office includes the Executive Director of the Foundation and Community Relations, the Foundation Admin/Account Specialist, Scholarship Liaison, Grant Writer, and the Alumni Liaison. This position enhances the effectiveness of the Institutional Advancement Office by performing responsible and specialized clerical assistance, accounting, and administrative support under limited supervision.
Position responsibilities:
- Provides administrative/clerical support and accounting duties for the Institutional Advancement Office, including conducting research and compiling information and preparing presentation manuals, reports, graphs, charts, and publications; responsible for drafting and/or processing routing and special correspondence and assisting in special projects on an as-needed basis
- Must have accounting experience. Will be responsible for submitting requisitions, summits check requests, will prepare and make deposits, keep detailed accounting records, and work closely with year-end auditors
- Prepares documentation for and records official minutes of the Kilgore College Foundations meetings related business and maintains records
- Gathers information as needed, appropriately posts meeting notices, and prepares meeting information
- Responds to requests or questions in person or on the telephone and refers calls to appropriate personnel
- Coordinating retention and destruction of records as necessary
- Schedules and coordinates meetings between department heads and the public, including maintaining the supervisor’s calendar
- Must be available for a flexible work schedule, including assigned evening or weekend hours to facilitate events and activities
- Must be discreet with confidential Kilgore College and donor information
- Works on various fundraisers, events, ribbon cuttings, groundbreakings, etc., as needed

- All applicants should have a minimum of a one-year certificate in office occupations, business, accounting, or a related field and three to five years of full-time professional office experience. Preference will be given to candidates with an associate’s degree and a demonstrated experience in an education environment. Applicants must possess excellent written and verbal communication skills; be detailed-oriented with excellent time-management skills; proficient in Microsoft Office applications and QuickBooks and be able to interpret and apply administrative policies and procedures; be able to work well with little supervision; and relate well to a diverse student and faculty population.

- Work is normally performed in a typical interior/office and classroom environment.
- No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 15 pounds.

- Compensation for this 12-month position is $36,725
