Administrative Assistant I - Public Services, EMS & Fire
Position summary:
The purpose of this position is to provide extensive secretarial skills for the performance of duties of a complex nature requiring frequent use of discretion and independent judgment. The Administrative Assistant is responsible for serving in an overall secretarial capacity to the Associate Dean of Public Safety.
Position responsibilities:
- Creates and maintains course and student records that fulfill both Kilgore College (KC) and create and build EMS course as needed in KC student registration platforms. Supports duties as required for Commission on Fire Protection class entry, registration and record guidelines. These records are kept for Fire Instructors and students, TCFP Fire Instructor certification is required for all Fire Academy Instructors. Required to keep up with EMT instructor license requirements and records
- This position will also be cross-trained for clerical support within the same department and assist the Assistant Director of the Fire Academy
- Instructor to student liaison for face-to-face Fire Academy and in person EMT and prospective students.
- Works in a team role with the EMS department for student records and associated enrollment needs.
- Maintain appropriate supplies levels and equipment for office use as needed. Maintain appropriate supplies levels and equipment for office use
- Works with staff on uniform ordering and issuance of class uniforms
- Works in Jazz HR platform for Fire/EMS instructor applicant processing
- Enters procurement request and payment of supplies and services
- Entering work orders for class room building needs
- Entering IT Incidents
- Applicants must possess a minimum of three years of successful work experience in an office environment
- An Associate degree in office administration or related job experiences is preferred
- Advanced computer skills are essential
- Must have good typing, spelling and communication skills and be able to file and keep accurate records
- Extensive scheduling for classes and Instructor coverage schedules
- Budget requisitions and purchase order duties on a continual basis

- Experience with using J1 required or preferred, grade entries for Fire and EMT students on a continual basis

- Work is normally performed in a typical interior/office work environment

- Compensation for this 12-month position is $30,914.

All full-time positions are located in Kilgore, TX. No fully work from home positions are available at this time. All employees must be available to physically present to work on the Kilgore, TX or Longview, TX Campus. Some Part-Time and Adjunct positions may be offsite but the candidate MUST live in the State of Texas.

Positions will remain open until filled. Some Adjunct and Part-Time teaching positions may remain open perpetually as the need for part time instructors fluctuates with student enrollment. Teaching positions will be required to submit official transcripts upon an offer of employment. An offer of employment will be contingent upon passing a background check.
